Where do I add a long term rental?

When logged in to your account you have a side menu where you can see a tab called Properties, by clicking here you find your long term rentals! Click on Active Properties and you will find a button that says "Create a new property".

Where can I upload property images for long term rentals?

On the property profile. You find this by clicking on the property name and it doesn't matter if it's an active or archived property, you can always view and update the property profile and its pictures.

Does RPM Pro have a lease system?

Yes it does! With RPM Pro you can create and send leases to you new tenants. Both you and the new tenants can even sign it directly online without having to print and scan!

Can I add a cash payment to invoices?

Yes. This is possible when cash payments has been added as a payment gateway. (This you can maually set up yourself).

Where do I upload images to an LTR property?

This is found in the property profile. You can upload as many images as you like to each property as well as setting a featured image!

Where can I get an overview of my LTR properties?

You can get an overview over all of your LTR properties on your LTR dashboard. Get a complete overview of you tenants, properties, unpaid invoices and more!

How do I archive and reactivate a LTR property?

If you wish to archive an active LTR property, you click on the archive button and the software will update and move the property to LTR Archived properties.

If you wish reactivate a property you go to Archived properties and hit the Activate button! Do keep in mind that you can ONLY archive a long term property if DOES NOT have a lease.

Where can I upload property images for vacation rentals?

On the property profile! You find its profile by clicking on the property name. it doesn't matter whether it's an active or archived property, you can always view, update and upload pictures.

What can i do on the VR dashboard?

On the VR dashboard you have multiple quick access options to manage your vacation rentals. Update unpaid bookings, view confirmed and unconfirmed bookings, view and upade open service requests and view weekly payments by day.

How do I archive and reactivate a VR property?

If you wish to archive an active property, you simply click on the archive button and the software will update and move the property to the Archived section.

If you wish reactivate a property you go to Archived properties and hit the Activate button! You can also change the property status on its profile page.

Where do I update a VR booking calendar?

Each vacation rental that you add to the software gets allocated a booking calendar which can be found on its profile page. Update any information that you require and set your prices.

How do I as an Admin benefit from RPM Pro?

The functionality of this software is not ONLY to manage ALL of your properties whether they are long term or vacation rentals, it has a fully built in management system so that you can handle all of your documentation, finance and support and so much more! With RPM PRo you have it all in one place. You can manage your housekeepingping and service section as well as their payments. You can add any kind of payment gateways of your choice such as Cash Payments and online payments. RPM Pro comes automatically integrated with PayPal and Authorized.net but you can choose your very own payment methods as well. RPM Pro is a highly developed program for all parts of Real Estate, You will be able to addaccounts for reltors, admin/landlords, cleaners, technicians, tenants and guests! Since RPM Pro is also mobile friendly - you will all be able to work more efficient and secure and always have EASY ACCESS! NO MORE lost documents and receipts, RPM keeps all of your data saved and safe within the software with the best security in mind!

How do I start with RPM Pro? What does it take to get set up?

If you already have a website, then we will be able to integrate/ install this with a few easy links this on to your website. After access it will take between 1-2 work days to set up. If you have any other additional extra ad-ons (depending on how many) we will let you know how many work days it will take (usually up to a maximum of 5 work days).

What makes RPM Pro the most up to date with Property Management?

RPM Pro was developed and fully customized after a professional Real Estate point of view. All details and functionality within the software are aimed to make your life easier. Top quality securities is used so that your documentations and private business details are secure!

How many people can I have using my RPM Pro?!

With RPM Pro you have UNLIMITED number for User accounts and Admin accounts. Add as many as you like without paying any extra!

Except for me as Admin who else can use the software?

In RPM Pro you can set up accounts for :

1. Administrators (Normal or Superusers)

2. Landlords

3. Employees / Supervisors

4. Tenants

6. Cleaners or Cleaning Companies

How do I add a new Admin or Landlord?

To add a new landlord or supervisor to your system you’re just a few easy clicks away!
Go to Menu - Admin Management or Admins.

1. Add new Admin/ Landlord.
2. Fill in the information on the pop up module.
3. (The email and password will be their User log in details.)

An automatic email has been sent to the chosen email address for activation and their login details.

How does the Dashboards work?

With RPM Pro you will have a total of 3 dashboards, Your Dual Dashboard (which you will see instantly after you have logged in). The dual dashboard gives you an overview of your total properties, landlords, tenants and guests as well as your active site alerts.
This dashboard laso has fast links giving you direct access to different sections of the software.

The other two dashboards belong to your properties - Long term Rentals and Vacation Rentals.

On your vacation rental dashboard you have your weekly bookings and daily transactions, weekly payment calendar, open service requests along with active guest accounts and unpaid booking invoices.

The LTR dashboard provides you with the same sections as the VR dashboard but for all of your long term properties and tenants.
Weekly payment calendar, leased tenants, open and expiring leases, active properties, open service requests, unpaid invoice and active accounts.

The dashboards AUTOMATICALLY update themselves as soon as new information is added or updated within the software. You can easily add payments and update service requests and bookings without having to leave the first page!

How do I send out a Site Alert? How does it work?

The site alerts is a GREAT way to share short information to all users of the program.
You can also choose if you want it shared to your all users of the software (incl. tenants and guest), make it printable on receipts or only visible for management.

To create a Site Alert of your Go to Site Alerts at the menu, Click on Create new site alert, fill in all the information that is needed, choose your dates and hit Create Alert.

Website Settings? Awesome, what do I do there?

This section is easily found in main menu.
After you have set up your new RPM Pro then this is the place you should visit! Before you can get started with adding your properties etc. you need to set up what file types etc that's allowed to be uploaded to the software.

You have three sections;
Global site settings - Website URl, Business info and contact details, upload logo etc.
File/ Image Upload settings - Pictures File Types, Directories etc.
Rental/ Booking & Payment settings - Payment gateways, use fee , completed message, allowed currency and more.

Can I show properties through RPM on to my website?

Of course you can! This is the whole purpose of RPM Pro, the website and the software are linked together!

Can I give discounts through RPM Pro?

Yes, you can add as many as you’d like. Add to a single property or multiple and choose whether it percentage or cash amount. To add or view a coupon you find this under Bookings - Coupons.

How do I Archive a Tenant/ Guest account?

Go to Active Tenants or Active Guests in the menu (depening on what account you are deleting). Click on the account name to enter their profile page. From here you can update the tenant/ guest account status. Set as Inactive and YES to archive the account. Keep in mind that ONLY tenants with NO lease can be archived.

How do I activate a property for bookings ?

When adding a new vacation rental, your booking calendar is automatically created. You can always add and update the calendar whenever you wish (the calendar can be found on the property profile).
Set up additional room fees, deposit amount, maximum of people and days of stay, allow coupons, automatic confirmations, tax settings and more!

I want to stay in my own property, what do I do?

That’s NO PROBLEM!
If you wish to stay in one of your own vacation rentals, you make a normal manual booking for that property, And in section 4 Tick in where it says "Is this an owner booking?". You can also manually over ride the price for your stay as well!

How does it work with cancellation of my RPM?

With RPM Pro you can cancel at any time!
But in the unfortunately event that you wish to cancel you monthly or yearly subscription of your RPM pro you just let us know before the next payment that you wish to cancel.

What do I do if there is a problem with a Property?

Whether you are a admin, landlord, technichian, housekeeper, tenant or guest you can send in a service or house keeping request. Here you can state the issue and upload images as well. IF there would be any other issue and you wish to contact your landlord directly,you can view the assigned landlords' profile page where you can send of an email and find their contact details.

How do I create an online signing lease?

This you can do in the Document System. Customize your leases and forms with easy to use functions and short codes. The short codes are here to help you create online signing, copy and paste the short code in to the sections of you document where you wish to have signed and save the form.

How do I set up Cash Payment as a gateway?

You can add Cash Payment as a payment gateway by visiting "Payment Gateways" the the bottom of your menu. Choose - Manual as your gateway type, Cash Payments as Gateway Name and leave API key & secret as empty.

Now you will be able to add cash payments to both bookings and invoices!

Can I as an admin access others accounts?

If you are an Admin Superuser then you have full access to the softwares which includes access to tenants and guest accounts. If you wish to enter an account you simply visit that persons profile page and click on "Access this tenant/ guest portal". This logges you in to that account without having to enter their login and password. During your stay you will have a quick access button following you around so that you can easily log back in to your own adimn account.

Someone forgot their password, what do I do?

As long as you have an Admin account you can change and update passwords for anyone that has an account. Either you can fast and easy update the password whilst on the phone or send them an email with the updated information.

What can I do in My File Box?

This is theplace for all of your hosted files, here you can upload all kinds of documents, files, images, promotional material and more. Upload what you want and give a name (ie. my_file) and a description and hit the Upload button. After upload your file or image will be allocated a URL as well.

What do I do if I am both an Admin and Landlord?

As a Admin - Superuser you can monitor and manage everything within the software, but if you wish to be able to assign yourself a request you can always set up a seperate landlord account.
Since you can set up unlimited accounts in your RPM Pro software you don't have to worry about setting up multiple accounts.


Invoices & Payment Settings

Cron set up? What does that do?

With RPM Pros Cron set up, the system automatically sends out reminders for late payments! This saves you both the time and the hassle to send out reminders yourself! You decide on how many days the first reminder shall be sent out and how many days until the tenant has to leave the property if not paid. When signing up for RPM Pro you decide on the days and we’ll set it up for you so that it comes integrated with the system! Ex. 5 days late payment – On 6th day the first reminder is sent out to the tenant. 10 days late payment – On 11th day termination letter will be sent out to the tenant.

Can i customize payment gateways to each property?

Ofcouse you can! With each property where it's a vacation rental or long term rental you can customize the payment settings to each property when first adding it to the software as well as afterwards in the profile.

how do i create a rent invoice for a tenant?

To be able to create an invoice there must first excist a lease between a tenant and a property. If you already have this, then you can create an invoice either through the tenant profile or by going to Invoices - All invoices in the main menu and add an invoice from there.

How do I update and pay an invoice?

After you have created an invoice you will need to update and add the rent amount and taxes. This you do by clicking the Edit button. To your top right you can add item and edit invoice settings. When completed you continue on to view the final invoice and make the payments either by creditcard or manual payment.

Where do I find my invoices?

With RPM Pro you have a complete seperate section for all of your invoices and booking payments. These can be found under "Invoices" in your main menu where you can choose to get an overview of all your payments as well as paid and unpaid invoices.

Can I create a booking invoice?

To create a booking invoice you simply go to Invoices - All Invoices and click on "Create tenant/ guest invoice". Fill in all the information that is required and hit the save button.

Can I do a part payment?

Yes you can, with RPM Pro yu can make custom payments down to the cent. When a partial payment has been made the invoice will update itself and show as "Part Paid" on All Invoices.

Coupon Codes? WoW how do I add one of those?!

Yes you can do that as well! Go to Bookings - Coupons. Add a new coupon, choose your title, coupon code, choose if you want to give in percentage or currency, the amount, dates and other notes that will be shown on your website together with the coupon. Choose what properties the coupon is for and click Save. It's as easy as that!

Mass Email?! How does that work?

Send out mass email from within the software. Choose to send the same email to all active or archived tenants/ guests, landlords, admins and house or service representatives. With RPM Pro you have a fully functional email system so that you can communicated with all of your users instantly.

Custom Tax? How do I set that up?

Don't worry, RPM Pro has you covered! In its own section of the menu ytou will find "TAX", here you can customize you taxes just bu adding the TAX name and its percentage. Once it has been saved it will automatically update and will be addable in you Invoices. The tax will be provided with an ID and you will be able to edit and delete them as you wish.

Document System?

With RPM Pro you have a fully developed Document System. From here you can create and save customized forms. With the help of the shortcodes you will get the tenant/ guest information and your business details automatically integrated!
What make this section so brilliant is that you can create a good standard form and you will be able to use it on multiple occations for both guests and tenants.
To give a couple of examples of forms; Terms and conditions - that needs to be signed after making a booking, or send a lease contract that needs to be signed from sides (tenant/ landlord).
Save time and effort, no more paperwork, all in one place!

What about images?

RPM Pro has a fully developed and integrated image system that allows you to upload UNLIMITED amount of property pictures and service request images. With the unlimited amount of image storage you will increase your chances of leasing/ renting out your properties. With the RPM Pros image system you get a complete overview of the issue on the service request and your housekeepers and technichians will be able to snap a picture and upload this to the request!
You can also customize what kind/ type of images (.jpeg, .png etc) that will be allowed to uploaded. To customize image setting go to Site Settings.

Sure thing we can! For the one who only has a few properties can choose our smallest package deal called - RPM Pro 20! With RPM Pro 20 you STILL HAVE all the features included and can add up to 20 LTR and 20 VR properties!

Monthly or yearly licence? What is the difference?

There is not difference within the software ifself when it comes to these package deals. You will still have the same amazing features, the only difference is the payment. With the monthly licence you'll receive a monthly invoice, with the yearly licence you will only receive 1 invoice per year. The benefits of paying yearly is also that you get 2 months for FREE!

How does a tenant or guest send a service request?

If a resident or guest has an problem with the property they are staying in, they can easily login to their private account and click on "Service Request". From there they can state the issue, upload an image (optional) and send it off.

Can a tenant sign a lease online?

Yes they can. When you have created a lease you can send if off to the new tenant for signing. The lease will be sent to the tenants email account as well as uploaded it their private RPM account. Either way, they can easily click on the lease, read and follow the instructions, sign it and confirm.

Where does a tenant or guest add contact details and upload a Profile Avatar?

On their private account, by clicking in the top right (when logged in) they can easily find their profile option from where they can upload an profile avatar as well as updating their contact details.

How do I make a manual booking through RPM?

It easy to make a manual booking, all you have to do is to click on Bookings - New booking. Here you choose your property and the desired dates, guest information, additional rooms and possible coupon discount. (If the booking calendars are not showing the you have not yet updated that propertys' booking calendar )

Is it possible to add Cash Payment for a booking?

Yes it is! When you create a new booking you can choose to make a manual payment. Just make sure that you have added Cash Payments in your payment gateway first.

What kind of payment gateways can I use for my bookings?

You can use ANY kind of online payments for your bookings. With RPM Pro you automatically get set up with Authorized.net or Stripe. If you prefer to use your own payment gateway then we easily help you install this for a small set up fee to your very own RPM.

Is it possible to get an overview of my bookings?

Ofcourse! With the Availability calendar! With this calendaryou can get a complete overview of your vacation rentals and when they have been booked.

What does the Booking Calendar do?

It sets up all of your booking features for each vacation property. Customized every part of your booking features such as price and dates, extra room fees and more.

What happens if someone wants to cancel a booking?

Go to your Active Bookings, from here you can either use the search box to find you booking or you can look through page by page. On active bookings you will find a side slide, move this to the right and you will have multiple options to choose from, View, Delete, Cancel or view Contract.

Please note that when a booking is cancelled it gets moved to Archived Bookings.

What can I do about my documents?

With the RPM Pro you can create any kind forms or documents and save them so that others can use them as well. The document system is an excellent way to keep your office paperless, create standard forms and leases and save them on to the software. If you already have other files that you wish to upload, then you can do this in your file box.

Maintenance

Frequently asked questions about service and housekeeping.

How do I add a Maintenance account and a Request?

Connect you cleaners or service technicians to you software! By providing them with their own account they will be able to upload images and change statuses on their assigned req as well as add extra service costs if so required.

To add a new account you go to Admins in your menu, choose the account type - Housekeepers or Service reps.
Fill in the needed information in the rest of the pop up module and click the Add Admin

To add a request;
Choose your category (Housekeeping or Service Request) in the menu, then click on Active requests. From here you will be able to click on Create a new VR/ LTR requests by clicking on the button. Choose your Property & Priority level. Give you request a Title and add additional information that is needed, and click– Save.

Can i add a housekeeper or service rep. as a superuser?

Yes you can. Do keep in mind that a superuser has access to ALL sections of your software. With a "Normal" account they can still view their assigned properties, receive instant updates, manage their tasks, add service or housekeeping fees and more.

How do I assign a service request to a technichians account?

When viewing the request in the software you will be able to assign it to a technichian's account. If the request needs to be re assigned to a different technichian, then you can easily do this at any time!

How will we know that a request has been added?

When a service request has been sent in, you as the admin (or assigned landlord) will receive an instant email that a new request as been added. When the request has been assigned to a technichian him/ her will also receive an email with the request and it's details.

Can I prioritise a service or housekeeping request?

If you have a property that require urgent attention, you can always update its priority. You have three levels Normal, Important and Urgent.
